Contract planning in Hendon

Documented building context

Barnet’s November 2012 Hendon The Burroughs appraisal records Welsh slate at numbers 13 and 15 and the terrace at 63–77. Its material account distinguishes machine-made tiles on 57–61 and identifies lead flashings at other named buildings. These examples show variation along the conservation-area street rather than one roof specification for Hendon.

Existing-building records for the tender

Do not extend a repair at one junction to an assurance about the whole roof. If an earlier investigation proposed a cause, retain the full document with its address, observations and limitations. The brief can then connect the reported issue to the actual component without adopting a diagnosis from the appraisal’s description of traditional materials.

A window receipt may address the product and fitting without describing every part of the wall or projection around it. Keep subsequent decoration and repair accounts in their own order. The appraisal’s sash-window examples supply architectural context, but current components and their connections must be identified at this home before physical conclusions are drawn.

Hendon tender and contract decisions

The Burroughs examples should prompt a material-specific Hendon tender. Welsh slate, machine-made tiles and lead flashings are separately recorded at named buildings; they are not interchangeable descriptions for the whole street. Confirm what is present on the instructed roof and ask the designer to define repair or replacement. Give each slope, abutment and outlet its own reference, with samples or product requirements identified where necessary.

State the access and temporary weather protection needed to expose the relevant junction. A contractor's general roof price should not hide assumptions about the structure beneath a covering or about access through occupied rooms. Define the investigation and the person responsible for a resulting design decision. If the exposed condition differs from the tender basis, retain the photographs, revised detail and JCT instruction together. The administrator's assessment should follow the actual contract and evidence of the changed work.

Separate high-level repairs from any internal alteration or extension included in the project. Show the interface on the drawings and identify the making-good limits. Confirm occupation and delivery arrangements at the actual site rather than transferring them from another building in the appraisal. At completion, connect guarantees, tests and outstanding items to the particular roof section and work package. A new visible covering is not proof that all concealed obligations have been fulfilled, and the local material account does not demonstrate the current condition of the house.

What should the Hendon tender and completion file make clear?

Before issuing the tender, allocate responsibility for roof design, specialist detailing and any structural work. Choose the JCT form around the defined project and those responsibilities, with the necessary information and decision dates recorded.
